What is an AI agent? Plain words, real examples
The short answer
An AI agent is software that is given a job, not just a question. It takes a goal, works out the steps, uses the tools it is allowed to use, and gets the work done, then reports back. A chatbot tells you how to do something. An agent does it. Think of one as a new member of the team. It needs a clear job and the right access. It needs someone who checks its work. And it needs a review of what it costs against what it saves.
The way I explain it to owners
I studied computer science at SFU and computer systems technology at BCIT, and I was a software engineer in Kyoto before I knew what advertising was. Then I co-founded the digital agency Sofresh with my friend Justin Cohen in 2007. WPP bought our agency in 2012, and I later led Wunderman Thompson Vietnam as CEO. So I have written software and I have managed people. An AI agent sits right between the two.
That is why I run AI tools the way a company runs people. I hire them, fire them, give them a place in the team, and check what they cost against what they save.
A real example from my own business
The first agent I show in my free masterclass on this site does one job. Customers now ask ChatGPT where to buy. This agent checks what the AI tools say about the business and works to make sure they say its name. In my business that work was about 20 hours a week of team time (estimated). Now nobody on the team does it. When the agent needs a human hand, it briefs the right person with everything ready. Each check costs about a cent.
Notice what it is not. It is not a clever chat window. It is one job, written down, done every day, and checked.
Agent, chatbot or automation?
- A chatbot answers questions. You still do the work.
- An automation follows a fixed script: when this happens, do that. Great when nothing changes.
- An AI agent is given a goal and works through the steps, even when each case is a little different. It can read, decide, use your tools and report back.
What makes an agent work
These lessons are older than ChatGPT. Our agency learned them building chatbots and automation for brands.
- Bad data, bad AI. Clients asked us about AI in 2018. Our honest answer was "fix your data". An agent is only as good as what it reads.
- Start with less AI. On one chatbot plan in 2019 we put buttons first and kept language AI for later. Back then it couldn't handle Vietnamese well. Ship the part that works today, then upgrade.
- Give it one clear job. When Sofresh passed 50 people, our makers got interrupted all day, so we added a traffic manager whose job was to say no. A good agent is the same: one job, a clear owner, and nothing else on its plate.
- Check its work. Every agent needs a person who reviews what it did, the same way you would review a new hire.
Five jobs agents do well in a small business
- Answer common customer questions, day and night, and pass the hard ones to a person.
- Follow up with every new lead the same day.
- Read supplier invoices and flag anything that does not match.
- Send booking reminders and handle simple changes.
- Pull the week's numbers into one short report.
Pick one that eats your team's week. Write the steps down. Hand one step to an agent, test it, and check what it costs against what it saves.
Questions owners ask
What is an AI agent in simple words? Software that is given a job, not just a question. It works through the steps, uses the tools you allow, and reports back.
What is the difference between an AI agent and a chatbot? A chatbot answers. An agent acts. A chatbot tells you how to send the follow-up email. An agent sends it and tells you it is done.
Do I need to be technical to use AI agents? No. You need to know your business well enough to write the job down. Someone else can do the building and connecting for you.
What is a good first AI agent for a small business? One boring, repeated job with a clear result, like following up with new leads or answering the same customer questions every day.
How do I know if an agent is worth it? Treat it like staff. Check what it costs against the hours it saves, every month. If it doesn't earn its place, replace it.
Which AI tools should a small business start with? Start with the work, not the tool. Pick the one process that eats the most of your team's week, write the steps down, then choose a tool that does that one job well. One tool doing one job beats a big platform you never finish setting up.
What is the cheapest way to start with AI? One agent, one job, on the software you already use. Start small, so you can test the idea before you spend on anything bigger. Check what it costs against the hours it gives back. Only add the next agent when the first one earns its place.
What jobs can an AI agent do in a small business? Repeat work that takes up a person's day: answering the same customer questions, following up with new leads, checking supplier invoices, sending booking reminders, or pulling the week's numbers into one report. The first agent I show in my free masterclass on this site checks what AI tools like ChatGPT say about a business. Each agent needs one clear job and a person who checks its work.
